Recording payments

Allocate a receipt across invoices, split cash vs GST TDS, and pick a mode.

Start a payment

Open Payments → Record payment, or click Record payment on an issued/partially-paid invoice (which pre-fills the invoice and amount due).

Prerequisite: payment-record permission and at least one payable invoice for the customer.

Steps

  1. Customer — pick the party. Its payable invoices load (issued or partially paid with a balance due).
  2. Allocations — add one or more rows. For each, choose an invoice and the amount to apply. Selecting an invoice defaults the amount to its balance due; you cannot allocate more than the due amount, and each invoice can be used once.
  3. GST TDS (optional) — the portion of the credit received via GST TDS rather than cash. The cash received equals allocations − GST TDS.
  4. Mode — UPI, Cash, Bank transfer, or Cheque.
  5. Reference (optional) — UPI reference, cheque number, and so on.
  6. Click Record payment. You are taken to the payment's detail page.

How it balances

  • Invoice credit = total allocations.
  • Cash = allocations − GST TDS.
  • GST TDS cannot exceed the total allocations.

Recording a payment updates each invoice's paid amount and status (partially paid or paid) and refreshes receivables and reports.
