Draft, issue & lifecycle
Save, issue, clone, cancel, and convert — the exact rules for each action.
Draft
New documents start as drafts. In lists they show as "Draft 1, Draft 2…" (a display ordinal) until you issue. Drafts are fully editable — open one, change the customer, lines, tax, or notes, and Save draft again.
Issue
Click Issue … on a draft and confirm. Issuing:
- Assigns the next number from the document's series.
- Snapshots totals, tax, and the template preference.
- Enqueues the HTML/PDF for the document viewer.
After issue the document is read-only.
Clone
Any document (draft or issued) can be cloned into a new draft of the same type, letting you reuse a similar document without retyping.
Cancel
You can Cancel document only when it is a draft or issued document with no payments recorded. Cancelled documents stay in the list for audit but cannot be issued or paid.
Convert a quotation
An issued quotation shows Convert to invoice, which creates a tax invoice from it and opens the new invoice.
Raise credit / debit notes
An issued, partially-paid, or paid tax invoice shows Create credit note and Create debit note, which copy the customer and lines into a new draft note for review. See Credit & debit notes.
Record a payment
An issued or partially-paid document shows Record payment. See Recording payments.
