Creating a tax invoice
Step-by-step: customer, branch, tax, line items, GST preview, and issuing.
Prerequisites
- A customer exists (or add one inline from the picker).
- At least one GST rate exists so lines can carry tax.
- Optional: branches, TDS/TCS rates, and an invoice layout set the way you want.
Steps
- Open Invoices → New invoice (or New invoice from the dashboard).
- Customer — pick a party from the typeahead. If the layout shows GSTIN, it appears once a customer with a GSTIN is selected.
- Tax & branch (when the layout shows them):
- Branch — leave as Default or pick a location.
- TDS rate / TCS rate — optional; leave as None if not applicable. If the lists are empty, add rates in Settings.
- Inter-state supply (IGST) — tick when the place of supply is another state.
- Extra fields such as buyer order no., vehicle no., condition/grade, or original invoice ref appear based on the layout.
- Line items — add each line's description (or pick an item), quantity, unit price, and GST rate. The item picker copies HSN/price; a customer price list overrides the price when set.
- GST summary — the right panel shows taxable value, CGST/SGST or IGST, TDS/TCS, and the total, updating as you type.
- Notes — optional payment terms or a thank-you note.
- Click Save draft. The blockers banner tells you if anything is missing (customer and at least one complete line are required).
Issue when ready
Saving keeps the document as a draft. To finalise:
- Open the saved draft.
- Click Issue tax invoice.
- Confirm the amount and party in the dialog.
Issuing assigns the next number from your series, snapshots totals/tax and the template preference, and enqueues the HTML/PDF document. The invoice becomes read-only.
Tip: You cannot issue directly from the create screen — save the draft first, then open it and issue.
